Information we collect

We collect the contact details, recipient information, memories, story responses, musical preferences, approved lyrics, and order information you provide. Stripe processes payment details; Our Song Letter does not store full card numbers.

How we use information

We use customer information to prepare lyrics, generate and review songs, process orders, provide private delivery, respond to support requests, prevent misuse, and operate the service.

Service providers

We share information needed to operate the service with providers for payment processing, hosting, email delivery, transcription and song generation. Providers retain and delete data under their own policies and procedures. We do not promise a specific provider retention period.

No sale of personal information

We do not sell your personal information. We do not sell, rent or trade it to third parties for their own marketing purposes.

Marketing communications

Marketing is optional and you can unsubscribe at any time. Unsubscribing does not stop order or service messages.

Voice transcription

When you use the microphone, your browser temporarily holds the recording in memory. The audio is transmitted to a transcription provider solely to convert your speech to text. Our Song Letter does not intentionally retain or store the raw audio recording after transcription processing; it is not written to our database or file storage.

You can review and edit the transcript before continuing. It becomes part of your story information and is retained only as needed for fulfillment, support, disputes and legal obligations. Browser-saved copies and provider copies cannot be remotely erased and remain subject to their own systems and procedures.

Access, retention and deletion

Customer delivery pages require a private token. Audio is stored in private storage with temporary authorized access. The 12-month access policy is separate from the lifetime of an individual audio link.

Online access to your song and approved lyrics is available for 12 months from delivery. Download your MP3 to keep your own copy.

Original questionnaires and transcripts are retained only as needed for fulfillment, support, disputes and legal obligations. This does not extend the separate 12-month online access period for your song and approved lyrics.

Private access and sharing

Keep your private delivery link to yourself. Use the separate sharing link or your downloaded MP3 to share your song. Anyone with an active sharing link can access the shared song. Turning off a sharing link cannot remove copies already saved.

Retention limitations

We are responsible for records we control and retain them only as needed for fulfillment, support, disputes or legal obligations. Backup copies may remain until their applicable backup-retention cycle ends. Service providers handle deletion under their own procedures. We do not promise a specific provider or backup retention period. We cannot remotely erase browser-saved copies or files you or another recipient have downloaded.

Email support@oursongletter.com. Our target is to respond within one business day, Monday–Friday, Eastern Time. This is a response target, not a guaranteed resolution time. We do not offer telephone support.

Include your order ID when available, but never email your private access token, payment credentials or full private delivery link.
